Tent Policies

  1. Inquiry
    The inquiry process is a discovery phase for us to learn more about you and your event. What’s important to you, your vision and the details.
  2. Our process & why it’s important
    During the discovery process, we will ask you several questions that may seem irrelevant to you at the time, however, they are all important answers so we can determine the correct size and type of tent for you, consider
    all logistics and overall ensure that you have the most successful event possible. We are not simply taking an order we are helping you create memorable moments that will last a lifetime. Trust us.
  3. Making a reservation
    The quote or proposal does not guarantee that the items will be reserved for you. To secure the items, we are taking them out of inventory so that nobody else can rent them. This guarantees that the items will be available for you on your special day. To ensure this, we will ask for a signature of the order and a 100% prepayment for the tent. Final payment is due three days prior to the delivery date.
  4. Cancellations
    When you reserve a tent, we immediately remove the tent and accessories from inventory so others cannot rent it. We take tent rentals seriously and can potentially begin planning labor and logistics as soon as it’s booked. Therefore, once a tent is reserved and the prepayment has been received, no refund for the tent will be given upon cancellation.
  5. Site Visits
    During the site visit, the Tent Specialists will evaluate the site based on the type of surface, soil testing, wind exposure, access to the installation site, utilities, trees/branches, outlets, and any other logistical details. This is all free and conducted by an experienced tent specialist.
  6. Tent Ballasts (weighting vs. staked)
    Staking is the most common and safest method for anchoring a tent. All manufacturers prefer tents to be staked. A Classic Party Rental stakes 3 feet into the ground per the manufacturer’s recommendations. Upon tear down, for a fee, stake holes can be provided to patch the ground.
  7. Weather
    A Classic reserves the right to deliver tenting prior to the event date or pick up after the event dates based upon weather conditions. If a weather event occurs, our team is available 24 hours to ensure you and your guests are safe. Our emergency number is 317.874.3464. An Evacuation Plan will need to be filled out and signed prior to installation. The client understands that temporary structures can provide temporary accommodations for your event and protection from moderate weather, but are not designed for use as shelter in severe weather. Consequently, the rented item (tent) may need to be evacuated in the event of severe weather and/or other emergency situations. It is the customer’s responsibility to ensure the safety of the guests.
  8. Damage Waiver
    The Damage Waiver is an optional, non-refundable fee equal to 10% of the rental fee. This cost covers wear and tear of the equipment and is not insurance. The fee does not cover material damage, theft, misuse or abuse.
  9. Call Before you Dig 811
    A Classic digs 3 feet into the ground which legally requires a Utility Locate to avoid hitting a utility line. As a courtesy to you, we call Indiana811 on your behalf and for safety purposes.
